Spare Parts Manager

 

  • Perform the assigned duties as per the set policies and procedures in order to achieve the department goals.
  • Prepare and develop annual business plans, budgets and sales forecasts in accordance with BSG’s overall strategies and directions. 
  • Sets the Department’s long- and short-term objectives and ensures that subordinates are highly qualified to achieve the goals in a cost effective and efficient manner.
  • Prepares Spare Parts Department’s policies and procedures that ensure standardized, efficient and effective flow of operations. 
  • Supervises the activities of subordinates to ensure their effectiveness and compliance with set standers as well as the company’s approved policies and procedures.
  • Select, trains, motivates, evaluates and develops the department’s staff to ensure the achievement of the company’s objectives.
  • Takes responsibility for developing, maintaining and ensuring compliance with Spare Parts Sales Strategy, Policies and Procedures, and submits any changes to the top management for approval. 
  • Determines the spare parts selling prices, in coordination with Finance Dept.
  • Determines the ordering system and inventory requisitions in coordination with Supply Chain Dept. 
  • Attends to spare parts customers, discusses inquiries, solves problems and makes suitable solutions, gives options, provides costs and leads time for ordering any unavailable spare part. 
  • Ensures that Spare Parts team maintain updated & good knowledge of company products and 
  • services, prices, promotions and any other details to be informed to customers. 
  • Ensures that the spare parts team follow up with customers and provide exceptional service. 
  • Ensures achieving and exceeding spare parts sales targets to service outlets, external customers, and whole sales, as well as promoting accessories and vehicle related additions.
  • Oversees the inventory controlling activities pertaining to spare parts and ensures that the system is accurately updated. 
  • Ensures that stock levels are kept at a sufficient level and that spare parts are available when required.
  • Coordinates with Service department to ensure accurate estimation of ordering quantities.
  • Coordinates with Supply Chain Dept to estimate time and cost for shipping and clearance. 
  • Develops a sufficient and effective ordering system that guarantees a high turnover rate and no over stocking.
  • Ensures that the best possible proposals are being provided to meet tender requirements and win tender sales.   
  • Approves ordering and re-ordering of stock items and ensures that items received are in top conditions and that any damaged received items are immediately identified, and claims are raised to the insurance companies in coordination with the Supply Chain Dept.
  • Coordinates with Service Department to ensure prompt internal delivery of spare parts and smooth cooperation between the two divisions. 
  • Ensures the excellent condition of the warehouse and inventories as well as their regular maintenance, cleanliness, proper storing, and organization to allow easy access and control of stock. 
  • Oversees the performance of regular stock inventory audits and personally conducts spot check audit of selected line items at least twice every month.
  • Maintains lost sales log and performs customer satisfaction surveys to identify weaknesses, strengths, opportunities and challenges. 
  • Closely monitor VOR and T card items to ensure speedy delivery of parts ordered thorough these methods.
  • Ensures the compliance of spare parts operations with overall performance standards. 
  • Monitors and controls annual allocated budget by optimizing costs, controlling expenditures, and reporting variances versus budget to ensure effective cost management.
  • Conducts annual performance appraisals to review spare parts department employees’ performance, recommends salary increases, rewards and promotions, and carries out disciplinary meetings when needed.
  • Provides the direct manager with adequate information to carry out his/her responsibilities. 
  • Reports on the progress of the Department and prepares adequate development plans.
  • Perform any other tasks related to the job assigned by the direct manager relevant to the job.
