Executive Personal Assistant

About the job

Are you an exceptionally organized and adaptable professional with a passion for supporting business leaders in their quest for excellence? We are seeking a dynamic Executive Personal Assistant to join our team and work closely with our management team, who are based between Dubai and Amman. In this role, you will be the right-hand person, responsible for managing a wide range of tasks related to business operations.

Key Responsibilities:

1.Team and Project Management:

  • Coordinate and communicate with team members, managers, and partners in both
  • Oversee project progress and provide regular updates to our managing director and CEO of a sister company.

2.Planning and Strategy Support:

  • Assist in strategic planning and decision-making processes.
  • Help schedule, organize, and lead critical business meetings

3.Leadership:

  • Act as the delegate when necessary, leading communications and decision-making.

4.Personal Assistance:

  • Handle personal-related tasks, including managing appointments, booking travel, and organizing personal events.

5.Communication and Representation:

  • Communicate fluently in both English and Arabic.
  • Represent the managing director in various meetings, both internal and external.
  • Draft and respond to emails on the managing director’s behalf.

3.Calendar Management:

  • Maintain and update the calendar to optimize time management.
  • Schedule appointments, meetings, and travel arrangements efficiently.

Qualities We’re Looking For:

  • Strong organizational skills and attention to detail.
  • Excellent communication skills in both English and Arabic.
  • Adaptability and the ability to handle unexpected challenges.
  • Problem-solving skills and the ability to work independently.
  • Leadership capabilities to confidently represent the founder.
  • Tech-savviness, including proficiency in office software.
  • Discretion and the ability to maintain confidentiality.
  • Proactive attitude and effective time management skills.

Requirements:

  • Bachelor’s degree in business administration or a related field (preferred).
  • Several years of experience in a similar role as a personal assistant or executive assistant.
  • Familiarity with project management and team coordination.
  • References from previous employers or clients attest to reliability and trustworthiness.
