Business Support Specialist – EGS

About the job

Manages, motivates and coaches a team of Support Services staff to deliver an accurate, efficient and responsive, customer-oriented service while achieving department targets and objectives. Responsible for providing functional expertise and ensuring effective planning, deployment and oversight of a skilled operational team to drive consistency and quality in all Group Security Support Services activities.

Assist the Business Support Manager by ensuring all EGS activities requiring third party billing and invoicing support are supported in a timely manner. Assist the Business Support Manager with the annual budgeting exercise.
In this role, you will:
– Work with the Business Support Manager to drive best practice across allocated functions as outlined in the department service catalogue, ensuring that standard operating procedures (SOPs) and work instructions are aligned with regulatory requirements, training and department practice.
– Understand customer account requirements, volume of demand and required service targets for Support Services offerings. Develop a delivery plan using these inputs. Drive implementation and encourage team engagement in the new ways of working. Drive lean methodology, visual management and service centric thinking.
– Reviews and update the information captured and entered in the relevant HR and standalone systems as used by Business Support to ensure quality and accuracy of information. Protect confidentiality of information, making sure that authority levels and system accesses are appropriate and that team members are aware of their responsibility to keep information and data confidential.
– Escalate critical information or issues arising appropriately and in a timely manner, ensuring that the details are accurate, any red flags have been highlighted and operational considerations or recommendations have been suitably included.
– Lead and manage a team of business support staff in day-to-day functional support activities related to roster planning, leave management, training management, manpower planning, outsource management and time & attendance management. Manage performance of team members, ensuring that underperformers and new joiners are coached to improve quality and quantity of output. Establish improvement or development plans to support learning and enhance performance against individual and applicable departmental KPIs.
– Assist the Business Support manager with the annual budgeting, billing & invoicing, asset management, contingent ID management, ITSR management, Duty Travel management, EGS-owned facilities management, and tracking of EGS resource training needs. Also assist the Business Support Manager in manpower supplier management strategy, including contract management and the definition of SLAs and vendor performance metrics. Work closely with vendors to ensure continuous performance improvements.
– Identify SLA shortfalls and highlight to management all instances of vendor non-compliance.
– Manage project work as allocated, ensuring that the expected deliverables are appropriately tracked, clearly communicated and achieved within the agreed timeframe/s. Manage and oversee the data collection and analysis processes within the team, ensuring consistency, accuracy, confidentiality and end- to-end data integrity.
– Design, develop and automate reports via SharePoint and other corporate applications to capture and analyse data related to department operations. Continuously review working practices to enhance productivity, role enrichment and the delivery of services. Encourage team members to continuously review processes, make suggestions and propose solutions for improvements or positive change.
– Work with the Business Support Manager to effectively deliver against the agreed service catalogue and agreed internal and external service level agreements (SLAs). Actively participates in management meetings, assisting Business Support Manager to implement management decisions and Group Security wide initiatives.
– Introduces operational cost-containment measures where applicable and actively prevents or minimises wastage of overtime, resources and work related supplies / consumables wherever possible. Keeps up to date on budget pack requirements and group budgeting processes to effectively guide cost centre holders (as agreed in the service catalogue) during the annual budgeting process.

– Bachelor’s degree or Honours with 5+ years’ experience in security (general)
– Diploma in Business Administration / Human Resources / Bachelor Degree preferred
