Responsibilities

GENERAL PURPOSE:

With general/minimum direction and latitude for initiative and judgment, performs routine and non-routine duties requiring advanced clerical skills, event coordination/planning, scheduling, and data entry for the Office of Equity and Inclusion Programming team.

JOB DUTIES AND RESPONSIBILITIES:

RELATIONSHIP MANAGEMENT

 

  • Manages correspondence with collaborating parties to ensure that all questions are answered, and information is disseminated in a timely manner.
  • Represents OEI team on Zoom calls, in-person events, and written communication, including email.
  • Communicates professionally with Departmental and Executive Leadership.

ADMINISTRATIVE SUPPORT

 

  • Schedules project team, committee, and introductory meetings as assigned.
  • Schedules and provides information regarding team members’ visits to various campus areas.
  • Uses MS Office, spreadsheet, and cloud-based project management platforms as needed to keep records up to date and support official communication efforts.
  • Manages the OEI Programming team email inbox.
  • Compiles, collates, and organizes documentation for submission to oversight authorities.
  • Completes grammatical review of grants prior to submission.

DATA ENTRY

  • Uses cloud-based software to contribute to project files, and to ensure that all documentation is accurate and up to date.
  • Runs reports and queries as needed.
  • Sends and tracks participation in surveys to inform programming.
  • Uses survey platforms such as REDCap and Qualtrix to create and share survey instruments, under the direction of the Director of Programming and Grant Management.
  • Ensures that program participants’ data is up-to-date and accurate in relevant systems, as directed by the Director of Programming and Grant Management and the Director of Clinical Pathway Programs.

EVENT MANAGEMENT

 

  • Working in collaboration with OEI Administrator for Event Planning, provides administrative support for events.
  • Works to ensure that OEI team members have appropriate and accessible venues, technological support, and other such needs met to run successful programs.

Other duties as assigned

QUALIFICATIONS:

Required:

 

  • Associate’s Degree
  • 3+ years of relevant experience
  • Or equivalent combination of education and experience
  • Advanced skills in Outlook, Word, Excel, and PowerPoint.
  • Excellent customer service skills.
  • Strong organizational skills and attention to detail.
  • Ability to work both independently as well as part of a team.
  • Strong oral and written communication skills; strong interpersonal skills.
  • Ability to multitask and prioritize assignments appropriately.
  • Ability to exercise a high level of professionalism and discretion with respect to confidential and sensitive matters.

JOB DUTIES AND RESPONSIBILITIES:

  • Keeps track of unanswered emails and stalled education requests and conducts respectful follow-up according to pre-determined schedule.

  • Schedules initial intake meetings for educational requests.
  • Schedules Needs Assessment meetings, shadowing experiences, calls, and other such events.
  • Coordinates the calendars of full-time and part-time Learning Specialists to ensure that all learning series are fully and appropriately staffed, according to Director’s determination.
  • Uses MS Office, spreadsheet, and graphics software programs to create informational sheets or summaries for participating learning cohorts.
  • Manages the OEI Education team email inbox.

DATA ENTRY

 

  • Uses cloud-based Education team software to contribute to education request files, and to ensure that all documentation is accurate and up to date.
  • Keeps notes on all correspondence using Education team software.
  • Runs reports and queries as needed.
  • Sends and tracks leadership commitment prior to all learning series start dates.
  • Sends and tracks participation in Needs Assessment surveys.
  • Uses survey platforms such as REDCap and Qualtrix to create and share survey instruments, under the direction of the Director of DEIJ Education.

EVENT MANAGEMENT

 

  • Working in collaboration with OEI Administrator for Event Planning, provides administrative support for Education-focused events, such as retreats, conferences, and symposia.
  • Works with administrators for learning cohorts to ensure that participants have appropriate and accessible venues, technological support, and other such pre-requisites for successful educational sessions.

Metadata Projects Librarian

Responsibilities

GENERAL PURPOSE:

The Metadata Projects Librarian leads the development of creative, sustainable, and interoperable metadata solutions in support of the preservation, discovery, and access of RCL’s rich and unique collections, which includes historical manuscripts, born-digital and digitized archival collections, digital projects, and digital exhibits. Under the direction of the Director, they are responsible for creating, enhancing, and adjusting metadata in a variety of online environments and within a variety of metadata workflows. The Metadata Projects Librarian collaborates with colleagues in the Metadata Services Department creating MARC-based cataloging and catalog maintenance activities, providing expertise in describing digital and electronic resources.

A talented problem solver, the Metadata Projects Librarian serves as an expert partner for faculty, students, staff, and library colleagues to identify and solve a variety of metadata-based problems. This position works closely with colleagues in Rare Books, Special Collections, and Preservation (RBSCP) and Digital Initiatives (DI) to ensure the robust and sustainable preservation, discovery, and access of our rich analog and digital assets and collections.

RESPONSIBILITIES:

 

  • Provide leadership in the development, execution, and documentation of creative, sustainable, and interoperable metadata practices in support of RCL’s digital collections
  • Support the creation, review, and maintenance of metadata for digital, electronic, and physical collections across the totality of the libraries’ metadata-rich information system infrastructure
  • Create bibliographic metadata for RCL collections materials in accordance with international, national, and local standards, particularly for digital and electronic resources
  • Participate in RCL’s Metadata Outreach program by serving as an expert partner for faculty, students, and staff across the University to identify and solve a variety of metadata-based problems.

Other duties as assigned, including professional development.

QUALIFICATIONS:

 

  • Master’s degree in Library Science or equivalent from an ALA-accredited program required
  • Demonstrated experience in metadata creation and metadata management required.
  • Demonstrated experience in bibliographic cataloging creation and management required.
  • 2 years providing library metadata and/or cataloging support or equivalent combination of education and experience preferred.
  • Prior experience with library/archives systems such as Alma/Primo, OCLC Connexion, ArchivesSpace, and repositories such as Preservica and Figshare required.
  • Prior knowledge of and experience applying cataloging and metadata standards, such as RDA, DACS, LCSH, LCC, Dublin Core, EAD, MODS, PREMIS, and MARC preferred.
  • Strong communication and interpersonal skills preferred.
  • Strong problem solving and troubleshooting skills preferred.
  • Experience with metadata and cataloging a wide-variety of traditional and emerging formats, both physical and digital preferred.
  • Experience working in an academic library preferred.
  • Knowledge of and experience in XML creation, editing, and transformation (XSLT) preferred.
