Banquet Sales Manager – Crowne Plaza Ammn

Key Relationships
- Develop and maintain contact with business generations, meeting and convention planners, visitors/convention Bureau/ travel agents, tour operators, airlines, corporate accounts, Government Departments and other producers closely allied to hotel business
- Liaise with key departments including Reservations; Purchasing; Printing; to meet customer needs
What’s the job?
- Manages all functions of the Conference and Banquet operations to achieve the optimum departmental revenue targets
- Conducts sales visits, telephone calls, writes letters, sends emails and extends invitations to clients to visit the hotel
- Follows up on all enquiries
- Analyses historical and other statistical information
- Entertain clients with the object to secure business or strengthen ties when required
- Negotiate terms pertinent to the sale of conference and banqueting services
- Conduct site inspections and tour familiarizations
- Conduct client interviews
- Attends trade shows and sells conference space when directed
- Establish leads from newspapers, magazines, relevant industry documents and follow up
- Maintain a regular pattern of sales calls
- Maintain regular contact with IHG regional hotels and reservation networks
- Monitor competitor activities and use information when developing strategies
- Assist in the co-ordination of conference sales/promotional events and activities
- Assist in the operation of banquet functions
- Liaise with Reservations for space allocation and priority
- Conducts daily briefings and other meetings as needed to obtain optimal results
- Handles administrative works and keeps up-dated files on the following Conference matters including:
- Past, present and future events
- Menus and beverage lists
- Finance
- Standards
- Personnel and Training
- Entertainment
- Meetings
- Other hotels Conference and Banqueting operations
- Projects
- Material and Equipment
- Miscellaneous
- Liaise with the Purchasing Manager for any purchases needed for the Catering department
- Liaise with the Graphic Department and Print Shop or external agencies to produce art work and printed material needed for the Conference department
- Monitors local competitors and compare their operation with his/her operation
- Solicits business and follow up on referrals and potential sales leads
- Keeps aware of trends, systems, practices and equipment in audio visual through trade literature, hotel show and site visits
Financial Management
- Under the assistance of the senior Finance Manager co-ordinate the preparation of the Departmental annual budget and work to achieve the budget by monitoring and controlling the departmental operations, considering revenue and expenditure
- On an ongoing basis, control and analyze departmental costs to ensure performance against budget; implementing corrective measures where necessary to produce positive business results
- Effectively manage staffing costs by preparing efficient work schedules in line with legal requirements
People Management
- Work within the company’s Human Resource Management System to ensure the departmental performance of staff is productive. Duties include:
- Plan for future staffing needs
- Recruit in line with company guidelines
- Prepare detailed induction programs for new staff
- Maintain a comprehensive, current and guest focused set of departmental standards and procedures and oversee their implementation
- Ensure training needs analysis of your departmental staff is carried out and training programs are designed and implemented to meet needs
- Actively work at developing your staff and identify high potentials
- Maintain training records for all direct reports and ensure they do the same for their staff
- Conduct probation and formal performance appraisal in line with company guidelines
- Coach, counsel and discipline staff, providing constructive feedback to enhance performance
- Approve leave requests after considering peaks and troughs in the business
- Regularly communicate with staff to maintain good relations
Customer Service

- Demonstrate understanding and awareness of all company policies and procedures relating to Health, Hygiene and Fire Life Safety and ensure your direct reports do the same
- Familiarize yourself with emergency and evacuation procedures
- Ensure all security incidents, accidents and near misses are logged investigated and rectified to prevent future catastrophes
General
- Comply with the Company’s Corporate Code of Conduct

- Perform tasks as directed by the Manager in pursuit of the achievement of business goals
