About the role:

As a bid and proposal officer you will prepare and handle the sourcing and bidding activities of the company, ensure that all bids are summitted at the right quality and on time and according to the company standard and customer’s expectation. And to contribute to the company’s growth and generate continues business, foster positive relationships with customers and suppliers , the sourcing and bidding officer role is essential in achieving departmental end-results by handling each inquiry with highest quality with respect to requested specification and on timely manner, the bidding member need to be aligned with company goals, self-motivated, and performing at a high level to drive sales growth and increase the chances of securing continues business.

What you will work on:

  • Bid fulfillment: Study, analyze each bid technical specifications including testing, certification requirement and inspection level and commercial requirement that’s include required delivery terms, time and delivery location to ensure that customer’s needs and requirements are met, and to identify any potential issues or challenges that may need to be addressed.
  • Sourcing qualified Vendors: Sourcing protentional vendors who can provide the required material based on their qualifications, capabilities, quality, and price to ensure the proposed material is feasible, cost-effective, and can be delivered on time in accordance with customer’s standard and within budget.
  • Negotiating: Negotiate contracts and agreements with suppliers, partners, and customers to ensure the organization’s interests are protected and that favorable terms are secured.
  • Offers evaluations: Evaluate received offers from vendors technically and commercially including requested specifications, lead time, payment terms, delivery terms, currency, logistics details (weight and volume), packing details, offer validity, and supporting documents such as (TDS, DWG, Catalogues) in order to select the best competitive offer.
  • Customer Satisfaction: Maintain strong relationships with customers and understand their needs and expectations in order to ensure that exceptional service is delivered, and customer satisfaction and retention targets are met.
  • Company Profitability (Orders Profit): Implement sales strategies in order to achieve gross profit and sales targets.
  • Handle post tender clarification: Respond on timely manner to customer technical/commercial clarifications and questions, to ensure that customers have all the information they need to make informed purchasing decisions in order to build customer trust and satisfaction, and to resolve any issues that may arise during the sales process, which include responding through customer portal and attending teams technical meeting with customer and suppliers and facilitate communications between both to close open points in correct manner.
  • Ensure data quality on CRM: Update & maintain accurate sales pipeline and opportunity records through data validation and data cleansing on the company MIS (include but not limited to SAP B1, Salesforce and Egnyte) to ensure that all sales opportunities are tracked and updated regularly and filled according to the company standard.

  • A bachelor’s degree in engineering.
  • A minimum 2+ Experience required in supply chain, sourcing, logistics or bidding.
  • Inside Sales Experience is preferred.
  • Oil and gas industry experience is a plus.
  • Technical experience in dealing with industrial materials is preferred.
  • Proven experience in working with tight deadlines and manage multiple tasks and projects.
  • CRM: proficient in using customer relationship management (CRM) like SAP or Sales Force, is a plus.
  • Market research and analysis: knowledge in market research and analysis to identify potential suppliers and evaluate their capabilities and pricing.
  • Ability to prioritize tasks and manage time effectively to maximize productivity and achieve sales targets.
  • Good knowledge of incoterms, shipping method.
