Executive Secretary

About the job

Executive Secretary to the Owner – Multi-Sector companies (Law, IT, Kitchen, Home Care)

Responsibilities:Multi-Sector Coordination: Act as the primary point of contact between the owner and the respective managers of the law firm, IT solutions company, central kitchen, and home care nursing service.

Schedule and Calendar Management: Organize and manage the owner’s calendar, ensuring that deadlines, meetings, and obligations across all sectors are met.

Communication: Handle incoming and outgoing correspondence on behalf of the owner, including emails, phone calls, and regular mail.

Confidentiality: Maintain utmost discretion and confidentiality concerning sensitive information across all business sectors.

Documentation: Assist in drafting, revising, and managing business documents, contracts, legal papers, IT project outlines, kitchen menus, and nursing service protocols.

Stakeholder Relations: Schedule and manage meetings with clients, suppliers, legal representatives, IT clients, kitchen staff, and nursing personnel.

Meeting Preparation: Organize and prepare materials for meetings, ensuring the owner is well-informed and equipped for discussions across all business sectors.

Resource Management: Assist in tracking assets, resources, and inventory across all companies.

Administrative Tasks: Oversee clerical duties, manage supplies, arrange travel, and ensure smooth day-to-day operations for the owner across all sectors.

Reports and Updates: Regularly update the owner on the status, challenges, and developments in each company, ensuring they are always informed.

Qualifications:Bachelor’s degree in Business Administration or a related field.

Proven experience as an executive secretary or similar administrative role.

Familiarity with legal terminologies, IT project management, kitchen operations, and home care nursing protocols.

Strong organizational and multitasking skills.

Exceptional written and verbal communication skills.

Ability to handle sensitive information with confidentiality.

Arabic and English fluently in reading and writing.
