Procurement Coordinator

The Procurement Coordinator supports the procurement and logistics management for purchasing of supplies, equipment and services.

Responsibilities

1. Receiving the Purchase Request from different departments and ensuring that all the required information and terms of reference (TOR) are present. Ensuring the presence of the necessary signatures and approvals. Giving a serial number for the purchase request as well.

2. Purchasing of equipment, services, and supplies in case of direct purchase. Preparing the procurement documents (Purchase Order,…etc. ) according to the organization’s procurement policies & procedures and the donors’ requirements.

3. Making field visits to suppliers to ensure the availability of materials in the markets or bringing offers and negotiating with the vendors if necessary.

4. Receiving materials and ensuring that they are in accordance with the requested specifications.

5. Preparing the Goods Receive note (GRN) and ensuring its signature from all concerned parties (Receiving Committee).

6. Reviewing and submitting the payment requests to the finance team along with all needed supporting documents.

7. Filing all of the department’s documents.

8. Maintaining and updating the vendors’ list constantly.

Qualifications

– Bachelor’s degree in Business Administration or any related field and/or relevant coursework in procurement

– Minimum of 2 years experience as a procurement coordinator in a similar position in a local or international NGO.

– Excellent organizational skills with a willingness to take initiative and be proactive.

– Ability to respond effectively to time-sensitive demands and inquiries.

– Accurate and precise attention to detail.

– Ability to multitask, prioritize, and have the ability to work under pressure.

– Strong communication and negotiation skills.

– Good financial understanding.

– Have a car driver’s license

– Proficient computer skills, including Microsoft Office Suite (Excel, Word, PowerPoint, and Outlook).
