About the job

Receptionist

Maintaining RFC offices’ cleaning and other office use supplies’ and stationery and keeping stock level of each item in Amman office in addition to creating PRs, filing, and assisting the department in variant matters. Also planning, creating and managing asset inventory system for all RFC film centers.

Job Description:

· Answering doors and phone calls, meeting and greeting guests and visitors and maintaining the reception desk all the time.

· Preparing PRs of different functions of the department including following up with the Finance department on invoices and payments in consultation with other team members.

· Booking cars and buses

· Updating and monitoring vendor lists, including a preferred vendor list. Coordinating with finance in terms of PR approvals and budgets for these items.

· Updating and monitoring lists and folders of the department’s suppliers’ contracts.

· Updating all lists of contacts, including calling entities and individuals twice a year and upon request to update data, ensuring all data entry is up to day on CRM, systems and lists.

· Working and conducting Admin annual inventory for Amman buildings, data entry and updating information on the system; creating forms and issuing labels for new and old assets.

· Entering vehicle orders and permits on the systems.

· Obtaining quotations and offers as requested. Preparing offer analysis and following up on invoices as required.

· Responsible for mail registering for incoming and outgoing, distributing of mail inside offices and arranging for outside distribution. Responsible for all international mail and shipment, including contacting service providers, sending emails, ensuring shipment is received as appropriate, verifying invoices, and preparing PRs.

· Conducting booking of car rentals, vans, buses and airport pick up and drop off to employees and guests.

· Conducting booking dinners, and lunches at restaurants and catering

· Responsible for scanning and filing all documents of the department whether in paper or electronic.

· Responsible for data entry at systems and lists as required.

· Responsible for following up and monitoring the distribution of greeting cards and calendars.

· Supporting the admin and logistics functions with forms including upgrades.

· Assist with monthly reports of the department and any other report required.

· Any other task assigned by the manager.

Job Specifications:

– Experience: 1 Year of Experience

– Education: B.A. in Business Administration, English language, or related field

– Attention to detail.

– Self-motivated and a team player.
