PATH Kenya is the lead implementing Partner for the USAID Nuru Ya Mtoto which is a USAID project funded by PEPFAR. The project’s focus is to increase use of high-quality, county-led health and social services, prevent new HIV infections, and reduce OVC and AGYW vulnerability. The project is implemented by PATH Kenya with ADS Nyanza as a consortium partner. The project is implemented at the county level, in the community and health facilities in the counties of Homa Bay, Migori, Nyamira, Kisumu, Kakamega, Vihiga and Kisii, in close collaboration with and support of county health management teams, department of children and social services and the Ministry of Health of Kenya.

PATH Kenya through USAID Nuru Ya Mtoto Project seeks to recruit a Procurement Associate who will ensure that goods and services are competitively procured and in compliance with the donor(s), PATH Kenya, and statutory regulations. The associate will seek maximum value for the project on matters of procurement and ensure that goods and services are procured in time and deliveries made according to agreed terms and conditions. He/she will be responsible for the maintenance of accurate, up to date and complete records in the required formats for all procurement transactions. In addition, the associate will be responsible for ensuring that all invoices are properly supported and reviewed before submitting them to the Project Administrator for payment consideration.

Job Responsibilities:

 

• Carry out procurement processes in line with the PATH Kenya laid down policies as well as donor regulations and the laws of the land.
• Prepare formal invitations for bids and requests for quotations, including required special terms and conditions, performance, and technical criteria.
• Track orders and confirm system lead times, delivery dates, and costs.
• Prepare, update, and maintain purchase orders until they are closed.
• Conduct routine vendor circularization and accounts reconciliations.
• Ensure that all the vendors that PATH Kenya does business with are properly registered and are subjected to proper due diligence processes including Bridger checks.
• Identify opportunities and implement actions aimed at achieving efficiencies in procurement processes.
• Ensure that invoices are properly supported before payment consideration.
• Facilitate good mutual business relationships with suppliers/vendors.
• Maintain up to date procurement document filing system.

Experience & Requirements:

• A bachelor’s degree in any business-related field with a specialization /bias in procurement.
• CIPS qualification and KISM membership will be an added advantage.
• At least 2 years progressive relevant on job experience, preferably in a busy NGO setting.
• Familiarity with USAID Rules and Regulations and Kenyan procurement laws.
• Excellent communication skills (both verbal and written).
• Strong attention to detail, sound technical and analytical skills.
• Ability to take sound meeting minutes
• High standards of integrity.
• Good time management skills and the ability to prioritize.
• Ability to take self-initiatives and solve problems.
• Ability to handle multiple and conflicting priorities, and work under strict deadlines.
• Availability for immediate deployment.
